1. AYY’S ASSOCIATION TRAINING AT 5PM ON 3 DECEMBER
AYY’s association training will be organised at Espoo Design Factory (Betonimiehentie 5) at 5pm on 3 Dec. The training is intended for old and new operators in the member associations of AYY’s association register. There is also information for those who are interested  in organisational activities or consider the establishment of a new association. Training is suitable both for beginners in association activities and more experienced actors. The training session will be organised in Finnish.

The training session addresses, among other things, general association activities, AYY’s services, meeting technique and communications. In order to keep our minds working, we also provide snacks and refreshments.

Initial programme:
Common programme for everyone, 5pm-6.30pm

  • Introduction to association activities: the Board’s responsibility, the annucal calendar of the association, interpretation of rules
  • AYY’s services and communications in Aalto community
  • Operating grants for associations
  • TTE-Fund grants
  • Internationality and trilingualism in associations
  • Equality in associations

Specialised group-specific programme, 6.45pm-8pm
Group 1: Rules and responsibilities, meeting technique and documents, duties and responsibilities of the Board
Particularly useful for chairpersons, vice chairpersons, secretaries and new association actors
Group 2: Event marketing and association communications
Particularly useful for communications officers, persons in charge of communications and event organisers
Group 3: Financial management in associations
Particularly for treasurers, both former and current, as well as chairpersons

Please register in advance in order to confirm the amount of refreshments and evaluate the need for space. In addition, advance information on participants will help the speakers’ preparation. You can also include special requests for the training content: the earlier, the better.

Please note that the training will be held in Finnish.

2. PARTICIPATE IN THE ORGANISING OF THE STUDENTS FINNISH CHAMPIONSHIPS 2015!
Gather a team in your association and organise the students Finnish Championships 2015 in your sport! In recent years, the championships have been organised in floorball, football, volleyball, baseball, ultimate, marathon, ice hockey, American football and many other sports. Sports try-outs and other easily approachable exercises have also been organised during the championships.

The Board of the Finnish Student Sports Federation grants the status of the students’ Finnish championships based on applications. We kindly ask those who wish to organise the students’ Finnish championships to get to know the new OSM rules (will enter into force on 1 Jan 2015) and fill out the application form. The application form and a brief project plan must be delivered to OLL no later than 11pm on 15 Dec 2014. You can send the forms to: jenny.soderman(at)oll.fi

3. EARN RISK-FREE AND EFFORTLESS MONEY FOR YOUR ASSOCIATION BY SELLING PK’S CHRISTMAS CONCERT TICKETS 
114-year-old Polytech Choir will organise two Christmas concerts on Thursday, 18 Dec. This year, PK offers the associations the opportunity to sell concert tickets and platinum Christmas records on commission. This is an easy and well-proven way to collect money: concerts organised for more than twenty years are known as high quality events.

Commission for concert ticket sales is €6, regardless of the ticket type, and you get an additional commission of €1 for the selling of the Christmas record. Selling is very risk-free and effortless from the viewpoint of associations. Selling takes place on the online shop of the Christmas concert and there is no minimum number for the tickets or records to be sold. The association does not even have to record the number of the sold tickets and records, as this is also handled through the online shop.

Please register your association by sending a message to joulukonsertti@polyteknikkojenkuoro.fi, which includes your association name and bank account number. In the response message, you get additional instructions and an individual seller code for your association. You do not commit to anything by sending a message!

1. CAMPUS EXPO 28-29 OC, DL FOR REGISTRATION 27 OCT

This year, the campus expo of AYY and Aava will be organised in Töölö on Tue, 28 Oct and in Otaniemi on Wed, 29 Oct. In the campus expo, you can present your association activities to new students, sell overall badges and make new acquaintances. Your association can participate in one or several days.

During the day, display stands are open between 9:45-14:15. You can come prepare your display at 9:30. You are provided with a table and a chair but you must bring other material by yourself. Registration is now open at https://lomake.ayy.fi/aava/kampuskarkelot-28-29-10-2014/. Deadline is next Monday, 27.10. 6pm.

If you want, you can also organise an evening event in your own facilities where you can invite new members to get to know your activities. The purpose is not to arrange ”checkpoints” like in Otasuunnistus orienteering but activities which are typical to your association and which can be easily presented to all who are interested. Please mention your possible event idea in the registration form and we will add it to the event schedule.

2. SELL YOUR ASSOCIATION BADGES AT CAMPUS EXPO! DL 27 OCT 4PM

Would you like to have your association badges sold at AYY Campus Expo?

Please register with Mikko Unkuri (firstname.surname@ayy.fi) and mention the price and number of badges.

Badges are sold both in Otaniemi and Töölö, unless the association only wants to choose the other location.

Badges are delivered either to the campus on the expo day or in advance to AYY Central Office no later than 4pm on Mon, 27 Oct.

3. AYY’S ASSOCIATION TRAINING BEGINS AT 5PM ON 3 DEC

AYY’s association training will be organised at Design Factory in Espoo starting at 5pm on 3 Dec. The training is intended for old and new operators in the member associations of AYY’s association register. You can also participate if you are interested in association activities or consider establishing a new association, for example. The training is suitable both for beginners in association activities and the more experienced operators.

A more detailed programme will be published later at ayy.fi and in the association newsletter.

The training will be held in Finnish.

4. AYY is looking for students who deserve recognition! DL 31 Oct

A conscientious team player or a diligent workhorse. A relentless creator of Aalto spirit or whoever.
AYY is looking for individuals from among its members who deserve acknowledgement. The recipient does not have to be an active organisation member in ivory towers or an eternal student who has worn out the couches at AYY’s office. On the other hand, these features do not preclude anyone from receiving acknowledgement. Acknowledgements, which are granted for the first time, will be awarded in a festive event in 2014. Proposals are received by the acknowledgement working group.

The form is open until 12noon on 31 Oct.

5. BORROW USEFUL BOOKS FROM AYY

Do you need more information how to run an association? Would you like to learn social media communications or go through history? AYY’s Central Office has several books on association activities, communications, management, well-being at work, interest representation and a pile of history books. Any association member or AYY member can borrow books. The exact list of books is available here: /en/associations/services/association-literature-for-loan/ You can request books from the organisation specialist (jarjestoasiat@ayy.fi). The majority of books are only available in Finnish.

The guide includes excellent tips for organising events so that the load on the environment is as small as possible, without compromising the success of the event or effort caused for organisers. The guide covers transport, catering, waste disposal, and the use of materials. The guide is available at AYY’s Otaniemi Service Point  and the guide has also been delivered to the association mailboxes. Get your own copy!

1. CLUB ROOMS AND STORAGE FACILITIES OPEN FOR APPLICATIONS, DL FOR APPLICATIONS, 17 OCT 

The allocation practices for facilities rented permanently for associations have been updated during the first half of 2014. In the future, vacant facilities will be announced in the association newsletter, after which associations can apply for facilities. Facilities are allocated by using the scoring model for facilities rented for associations.

Now the first vacant facilities are open for applications. Both club rooms and storage facilities are applied through an electronic application form:

Vacant facilities and their floor areas are available for review when filling in the application form.

The application form is open on 12noon on Fri, 19 Sept – 12noon on Fri, 17 Oct.

AYY’s facility committee will address the received applications in week 43. AYY Board will decide on the allocation of facilities for associations based on the proposal of the facility committee in week 44. Contracts for facilities will be made from 1 Nov 2014 onwards. Rental agreements are valid until further notice, unless otherwise agreed.

NB! Only the applications received through the above-mentioneed forms are taken into account. Previously sent facility inquiry emails or late applications will not be considered.

3. REMINDERS FOR THE USE OF FACILITIES RENTED ON A ONE-TIME BASIS AND THE TILA SYSTEM

In early autumn, there has been some confusion related to facility reservations. Here are a few reminders related to the reservation and use of facilities:

  • If you make a reservation for your association, please do it in TILA system (tila.ayy.fi) always with the name of the group in question, not with your own name. You can use the username received by your association or guild, for example.
  • If a person has already made a reservation with one’s name, the bill is also addressed to him/her. Changing the billing information means additional work for the service point, which may be separately billed in the future.
  • Always remember to cancel your reservation if you do not use it, even if the reservation is free of charge. We receive surprisingly many facility inquiries at the last minute, therefore, please release the facilities for others to use if you do not need them.
  • In the future, you can no longer make sauna reservations for the current week. We aim at minimising unnecessary heating, and the maintenance company is informed about upcoming heatings once a week.
  • Please return the key after your reservation on the following day by 12noon to Otaniemi Service Point! A locked return box for keys will appear soon at the entrance of the central office, which will make it easier to return the keys.

4. NOMINATE HONORARY TEEKKARI H.C. TITLES AND USER PERMISSIONS FOR THE TEEKKARI CAP         

Now you have the opportunity to nominate honorary Teekkari H.C. titles and user permissions for the teekkari cap for persons who have worked long-term and successfully in favour of students. Acknowledgments will be awarded at Teekkari tradition celebration on 7 Nov. Both are traditions from TKY’s era and today they are acknowledgments arranged by Guild of the Round Tower (PTK) and Teekkari Section.

Nominations can be made by associations or private persons.
