Wanted: Information Officer

Are communications your thing? Interested in developing brand work? Interest piqued by the opportunity of working in the student union and association field? AYY is searching for an active-minded information officer for the duration of parental leave of the current information officer.

INFORMATION OFFICER

Type: Temporary, full-time, 37.5 hours a week
Stage of studies: Finalizing studies – graduated
Starting date: 2nd of January 2018 or as soon as possible
Location: Otakaari 11, Espoo
Wage: According to the Student Union collective labor agreement, grade III, starting at 2107 €

AYY is searching for an active-minded information officer with a fervor for developing things until the end of the current information officer’s parental leave from the 2nd of January until the 30th of September 2018.

The information officer is in charge of the external communications of the Student Union, communication to the members and developing communications based on AYY’s strategies. The tasks of an information officer entail but are not limited to:

  • Writing announcements and compiling the weekly newsletter
  • Creating content for social media
  • Moderating and upkeeping the social media Excel calendar
  • Coordinating the tasks of the graphic designer
  • Creating the yearly calendar together with a designer from TOKYO
  • Drafting the annual report of activities
  • Ordering printed products

We hope that our new information officer stand-in will bring new ideas to develop AYY’s communication channels and means of operation, along with a good drive to do communications.

Requirements:

  • Relevant studies in a higher learning institution/university.
  • Experience on communications and knowledge of the tasks mentioned above.
  • A good skillset for working and interacting in a team, the ability to comprehend large issues and adopt new things, and the skill to adapt to changing situations.
  • An independent manner, enthusiasm and initiative, swift execution of decisions and flexibility with office hours from time to time.
  • Good skills in English and Finnish, both oral and written.

Seen as a plus for the job:

  • Experience in brand work and using social media in communications tasks
  • Knowledge of the WordPress platform
  • Experience in the field of student unions and/or associations
  • Good skills in Swedish, oral and/or written

AYY is searching for a graphic designer to join its communications team

Join us in creating varied visual content for volunteer activities, events, advocacy matters and other services of the Student Union!

The tasks of a graphic designer include designing and editing material for AYY’s published content. In effect, these include various kinds of posters and the yearly review. On the web, the graphic designer also makes Facebook banners, webpage banners and part of our Facebook and Instagram posts. Smaller projects include business cards, staff cards, invitations and other small matters.

In 2018, AYY will receive a new visual look, based on BrandBook, helping to keep the new fresh look unified. You can still create visual outlooks and execute your creative vision in various kinds of event graphics, however. Your main work platform will be Adobe CS, and to ease the planning work we also have a Shutterstock account subscription set up for the graphic designer.

A requirement to apply is a professional knowledge of graphic design, editing and layout. Graphic skills and photography skills are considered a plus, along with knowledge of video editing and capture. The applicant should be able to control projects on their own and to be able to prioritize their work schedule accordingly. The applicant should have good communication skills in Finnish and English. Swedish is considered a plus.

Working in the Student Union requires enthusiasm, efficiency and from time to time flexibility in work hours. Knowledge of the Aalto community is a bonus, because it helps with the planning work of visual elements. You will work in a team with the AYY communications specialist and communications officer, who will help in work orientation and spar and bounce ideas back and forth with the graphic designer.

The work contract is permanent and part-time (20 hours/week). The paygrade is determined by the Student Union Work Agreement (Pay grade II, taking into note possible education and experience increases).  The person chosen for the job can apply for an AYY governed apartment. AYY’s central office is in Otaniemi, Espoo, with good public transport connections.

AYY is searching for an emergency accommodation coordinator

AYY is searching for an emergency accommodation coordinator approximately from the 7th of August 2017, or as agreed. The emergency accommodation coordinator is responsible for organizing temporary accommodation for students that are left without an apartment in the autumn and communicating about the situation. The coordinator’s tasks include providing guidance and counselling for students, especially international students, arranging the practicalities related to emergency accommodation (such as monitoring the use of the emergency accommodation and key control), and emergency accommodation planning in the long term. Fluent written and spoken English and Finnish are required.

AYY is looking for Campus Development Project Secretary

Aalto University Student Union AYY is an advocacy and service organisation for nearly 15,000 students. AYY operates on three campuses and at the central office located in Otaniemi. AYY employs a total of approx. 50 persons. In the student union field, AYY is a young and innovative actor where you can implement your own ideas and create something new. AYY is a community and corporation governed by public law, which includes real estate and service companies in addition to the student union.

AYY is a major rental housing provider with a total of 3,100 rental apartments and its aim is to build a significant number of new apartments in the coming years.

AYY’s support activities are centralised to Aalto University Campus in Otaniemi, Espoo. We are now looking for

CAMPUS DEVELOPMENT PROJECT SECRETARY

with a fixed-term contract to join our support team in Espoo. The campus development project secretary is responsible for project leading in the preparation of upcoming real estate projects and the project secretary will assist the real estate team. Projects are related to the preparation of zoning and the promotion of projects. One key responsibility is to participate in the renewal of AYY’s real estate strategy.

In order to succeed in the position, the applicant is required to have basic knowledge of zoning and the real estate field. Experience in project administration is considered an asset. The position requires self-initiative and the ability to complete tasks. The position also requires adequate language skills (English is mandatory, Swedish is considered an asset).

We appreciate a constructive and inspiring approach to work, teamwork skills and know-how of student union activities, as well as the willingness to act in an active and constructive manner. Experience in municipal advocacy is also beneficial.

 

A fixed-term position will start in February 2016 (or as agreed) and continues for approximately 1.5 years. Chief Financial Officer acts as the supervisor of the recruited person. This is a part-time position, there are 20-25 working hours per week in accordance with the agreement. The salary is defined according to the collective agreement of the student unions.

AYY is looking for a specialist for international affairs

Aalto University Student Union is an advocacy and service organisation for nearly 15,000 students. AYY operates on three campuses and at the central office located in Otaniemi. AYY employs a total of approx. 50 persons. In the student union field, AYY is a young and innovative actor, where you can execute your own ideas and create something new. As a working environment, AYY is youthful and very flexible.

We are now looking for a specialist for international affairs for an open-ended contract starting approximately on 10 Oct 2013 or as agreed.

The specialist’s tasks include influencing for example the integration, employment and subsistence of international students, as well as other issues related to internationalisation. In addition, the specialist coordinates the Student Union’s trilingual practices, international student tutoring and participates in voluntary activities in the international sector.

The work involves becoming familiar with issues from diverse perspectives, preparing the student union’s policies and advocacy work according to the policies, as well as representing international students’ perspective in meetings with various stakeholders. The work also includes working within local and international networks. Advocacy work takes place locally in the Aalto community. The main place of work is AYY’s central office in Otaniemi, but the work includes travel within the metropolitan area, among other things.

Work in the student union requires an independent attitude, enthusiasm and initiative, effective implementation of decisions, as well as occasional flexibility in the working hours. We expect the applicants to have international experience, higher education studies and knowledge of the responsibilities. In addition, we also require excellent oral and written skills in English, as well as a good command of Finnish. Swedish language skills, as well as student union or organisational experience are considered an asset.

The working hours are 37.5 hours per week and the wage is specified by Group III of the salary system of the collective agreement for the student unions. The successful candidate has the opportunity to apply to live in the student union housing.
