Aalto University Student Union is looking for an Executive Director

Do you want to be part of a versatile and innovative work community and observe the development of the Aalto community and construction of the Otaniemi campus area from a front-row seat? Apply to become our Executive Director!

The primary task of the Executive Director is to ensure the execution of the Student Union’s strategy. Further tasks of the Executive Director include close cooperation with the Board and Representative Council. In the day-to-day work, the planning and continuous development of the operations play a large role. Cooperation with stakeholders and representing the Student Union are also a central part of the Executive Director’s tasks. In your position, you will direct multiple teams and act as the manager of approximately 20 employees.

In your management work, you will work closely with the Financial Director and the rest of the Management Team. In addition to general executive direction, you will be responsible for some of AYY’s operational fields, such as the community, fundraising and the promotion of digitalisation. You will be deciding upon management responsibilities and work distribution in more detail together with the Financial Director who has newly taken up their position.

The position is fixed-term for the period of 1 May 2019–30 Apr 2022.

The recruitment team will interview suitable applicants during the periods of 13–15 Mar and 18–19 Mar. Those invited to an interview will be sent an advance task prior to the interview as well as asked to participate in a possible adaptability test before selection. The final selection will be made by the Representative Council, who is likely to interview the top candidates in week 15 or 16. The Representative Council will decide upon the new Executive Director in its meeting on Wednesday 17 Apr 2019.

Aalto University Student Union (AYY) has approximately 14.000 student members. AYY employs more than 40 permanent employees as well as around 100 volunteer operators. There are around 200 associations operating within AYY. The focal points of the Student Union’s operations are advocacy, communal operations and service operations. In addition, the Student Union provides a home to around 3000 of its members in the apartments it owns. AYY’s assets are worth approx. 150 million euros, and its annual turnover is approx. 15 million euros. Aalto University Student Union AYY is the advocacy and service organisation of nearly 15 000 students. Altogether, AYY employs around 50 people and has dozens of volunteers and organisations operating within it. We are currently looking for a Secretary of Member Services to join our team

AYY’s services office, located in Otaniemi, Espoo, assists members in different matters relating to membership and the Student Union’s services. As Secretary of Member Services, you are an important part of the team doing its share for realising the vision of our Student Union: AYY – The best student’s life in the world.

The duties of the Secretary include customer service (electronically, by phone and in person), duties relating to invoicing and cashier services, controlling and developing the processes relating to rentable facilities, and otherwise supporting the office and the service operations.

  • Strong team working skills and a positive outlook on development

AYY is searching for a designer for the web training module for student representatives in administration

Assignment

AYY is searching for a project worker/workers to design the web training model for training student representatives in administration (hallopeds) at the Aalto University. The assignment includes designing the training module, including but not limited to the following subjects: Technical meeting equipment and appliances, Aalto decision-making, yearly clock, development of studies (e.g. pedagogics, feedback, course material), teaching planning development, student admissions, and legislation regarding studies and lobbying.

Successfully completing the assignment requires knowledge in project working and pedagogics, studying at a higher learning institution and experience in student advocacy, a strong knowledge of Aalto as a university environment, understanding the Administrative Procedure Act and good management, and a clear and concise knowledge of oral and written Finnish along with a good knowledge of oral English. Swedish is seen as a plus.

Searching for a graphic designer for the hottest project of the fall

Permission to go crazy, granted! We are searching for an Aalto graphic designer or graphic design student to create the visual outlook for the cross-artistic campus festival Otaniemi Night of Arts, coming up in October.

The designer will create the program booklet, poster, logo, Facebook banner and web page graphics. The Night of Otaniemi is a part of AYY’s Year of Art, and there are possibilities for employment in follow-up projects after the conclusion of the festival.

You are who we seek if:

  • have a good imagination

  • you can think ”outside the box”

The task is remunerated with a sum of 800€ with an income tax card or 1050€ if invoiced.

The Aalto University Student Union is looking for interns!

The Aalto University Student Union is a dynamic service and advocacy organization that represents 15 000 students. Now you have the opportunity to work with us and show us your skills! AYY is looking for 1 to 3 interns for a variety of tasks.

 

Possible tasks

Organizational development intern

Your duties include various support tasks related to organizational development and well-being at work. You will work closely with the Financial Director, Secretary General and HR Manager of the Student Union. One of your most significant tasks will be contributing to the quality manual of the Student Union.

Automation intern

During your internship, you will examine what functions could be automated at AYY. Previous ideas related to automation have concerned e.g. the compilation and distribution of the weekly newsletter, the process of granting operating grants, and the general distribution of information within the Student Union.

Project funding intern

There are various funding channels for many associations and public entities, but the processes for obtaining funding are complex. As an intern, your task will be to look into different project sponsors and consider which of them would be suitable partners for the Student Union.

Voluntary activity intern

A lot of voluntary work is conducted within the Student Union and the Aalto Community. During your internship, you will investigate what kind of support the volunteers need to succeed in their tasks. You will also consider how this support could be organized in such a way that the acquired knowledge could be recognized as part of the studies.

Service design intern

Service design could be applied to several of the Student Union’s projects this year. Two of the most significant of these are AYY’s student center project and the Student Union website update. Other potential future development targets include a survey regarding member satisfaction and enhancing customer understanding. Service design could also be utilized in many other areas.

Data analytics intern

Collecting and analyzing data is currently a growing trend in every company, but the issue has not been discussed in much detail from the Student Union’s point of view. During your internship, you will have the chance to interview the organization extensively and think about what kind of data we would need to support our own operations and how it could benefit us.

Communications intern

As a communications intern, you will be able to try out new communication tools and ways to better reach out to the members and stakeholder groups of the Student Union.

Intern to promote student well-being

One of the main themes of the Student Union and the University in 2018 is the well-being of students. During your internship, you will investigate and implement various measures to improve student well-being in the long run.

Intern for the archives

As an intern for the archives, you will find out more about the statutory archiving tasks in public administration and develop our archiving operations.

Who can apply?

It is important that the internship is related to the intern’s studies. Time of the internship

The internship lasts three months, and the more detailed duration can be agreed upon separately. The internship will take place between April and August, however. Depending on the content of the internship, it can be done for example between May and July or in May, June and August.

The tasks of a Housing Secretary include:

  • customer service face to face, on the phone and online
  • handling apartment applications
  • drafting rental agreements
  • participating in developing housing services
  • in addition, you will participate in producing and developing other AYY member services and in communications pertaining to services.

You will be working with AYY’s own housing system Domo, which you will be trained to use.
