AYY is looking for a designer and maker for the Master of Ceremonies’ staff

AYY is turning nine already, but there is still something missing from AYY. A Master of Ceremonies’ staff, that is!

The Master of Ceremonies’ staff is used at the annual balls and possibly at other ceremonious events of associations or, in the case of AYY, the Student Union. At the festivities, the Master of Ceremonies thumps the ground to get the party crowd’s attention, for example, before a speech. The Master of Ceremonies’ staff is usually around two metres long and has a logo, emblem or other symbol representing the association at its head. The staff usually has a base, which can be either decorative or simple.

With the AYY annual ball approaching once again, the need for a Master of Ceremonies’ staff becomes very real as well. AYY wants a staff that represents our community. This being the case, we are looking for a designer and maker for our staff! This staff will be used by out Student Union most likely for decades to come at all more ceremonious events, and it will act as an important and valuable symbol of AYY. Both the staff and its head and base can – and should – be designed and manufactured using your own creativity. The images can be used to help perceive how the staff is used. AYY’s symbols can be used either as they are or to provide individual elements to contribute to the staff’s shape. The important thing is for the staff to represent AYY in some way!

If necessary, some of the parts can be commissioned from an external manufacturer, but most of all, we are hoping for personal handiwork! Aalto Infrastructures has promised the staff’s maker access to the Aalto workshops and offers materials for manufacturing the staff as well.

AYY is looking for an Administrative and HR Manager

Come work on open-minded personnel development and nimble administration in a nice work community!

As the Administrative and HR Manager, for the part of human resources, you will be responsible for e.g. carrying through and developing AYY’s recruitment and induction processes and everything they involve, comprehensively promoting wellbeing at work and spurring on the managers in relation to various personnel management questions. In this position, you get to boldly implement the personnel strategy completed at the end of 2018, to make the position reflect yourself and to take all of HR in a new direction. The work also includes tasks related to the Student Union’s records management, for example, in relation to meetings of the Board and Representative Council, making travel and meeting reservations as well as many other tasks related to the office’s general administration.

What we require from you:

  • Good organisational skills
  • Good interaction skills
  • Ability to see the big picture and to prioritise and, at the same time, an eye for detailed observation
  • Solution-centred and independent approach to work
  • Ability to work under pressure and to adapt to changing circumstances
  • Higher-education studies
  • Fluent knowledge of the Finnish language and knowledge of the English language

What we see as beneficial:

  • Familiarity with organisation operations as well as AYY and Aalto University
  • Suitable higher education degree
  • Familiarity with the Administrative Procedure Act and Administrative Judicial Procedure Act as well as employment legislation in general
  • Knowledge of the Swedish language

The salary is determined by the collective labour agreement for student unions (salary class IV, acknowledging also possible education and experience supplements). The recruited person will have the opportunity to apply for residence in the Student Union’s apartments. The AYY Office is located in Otaniemi, Espoo, and has good transport connections.

The position is a fixed-term cover for a leave of absence. The work begins as soon as possible in March 2019. The fixed-term contract ends on 22 Mar 2020.

Aalto University Student Union (AYY) has approximately 14.000 student members. AYY employs more than 40 permanent employees as well as around 100 volunteer operators. There are around 200 associations operating within AYY. The focal points of the Student Union’s operations are advocacy, communal operations and service operations. In addition, the Student Union provides a home to around 3000 of its members in the apartments it owns. AYY’s assets are worth approx. 150 million euros, and its annual turnover is approx. 15 million euros. It has been scientifically proven that AYY has an exceptionally good working environment, and we take pride in maintaining this.

Information on the Teekkari cap process

Clarifications regarding the Teekkari cap were begun in autumn 2018, and they have proceeded. Attached is a revision of what has happened thus far.

Participation in Teknologföreningen’s freshman education and other operations was made accessible to all Aalto people when Aalto University was established. Last year, Interior Design was transferred from the Department of Design to the Department of Architecture, as a result of which the responsibility over new Interior Design students transferred to the Guild of Architecture. These facts have led to also other students than those of the technology field participating in both associations’ Teekkari freshman education.

In October 2018, the Guild of Architecture and Teknologföreningen approached AYY and the Teekkari Section with a letter expressing the wish to clarify the possibility of also other students than those of the technology field to receive a Teekkari cap.

Due to the letter, the Board of AYY decided in November 2018 to establish a working group to clarify the community’s views on the matter. The working group consisted of members of the Board and the Teekkari Section.

During the charting process in November–December 2018, eight parties were interviewed:

  • Freshman Committee,
  • AYY Board,
  • Teekkari Section,
  • Council,
  • Guild of Architecture,
  • Teknologföreningen,
  • Ikiteekkari (Eternal Teekkari) and
  • Guild Eldest of the Guild of the Round Tower.

A unanimous stand on the topic could not be formed based on the interviews, and the Board was presented with multiple solution models.

In December 2018, the AYY Board make the following decision:

“If the Teekkari Section and the Guild of the Round Tower (PTK) are in favour of this, permission to wear the Teekkari cap can in special cases be granted to persons who have completed their freshman education. These concessions are to be treated as individual cases.

The Board authorises the Freshman Major to design a proposal for the concession process in collaboration with Julius Luukkanen and the Chair of the Teekkari Section. The process will be approved by the Teekkari Section and a PTK panel.

This decision stands for the present and will be readdressed after the possible Wappu 2019 in the body in charge of Teekkari matters as defined by the community structures project. The TKY-period Cap Regulations must be updated, if possible, in connection with this.”

The concession process mentioned in the decision was prepared during January 2019. The Teekkari Section and the panel of the Guild of the Round Tower ry approved the process in the beginning of February 2019.

The process enables permission to wear the cap to be granted solely to freshmen who begun their Teekkari freshman education in autumn 2018 and whose degree does not lead to the title of Bachelor of Science (Technology), Master of Science (Technology), Architect or Landscape Architect. The cap must be applied for separately, and both the Teekkari Section and the panel of the Guild of the Round Tower must approve the application in order for a cap to be granted. Through the process, the cap can only be granted to a freshman demonstrating particular Teekkari spirit and interest towards the technology field.

Freshmen have been notified of this opportunity, and the application period is ongoing.

If applications are received, the Teekkari Section and the panel of the Guild of the Round Tower will address them later in the spring and either grant or not grant the permissions to wear the cap in time for the possible Wappu 2019.

This is a temporary operating model designed for use this spring only. Matters regarding the Teekkari cap will be readdressed once AYY’s community structures project is completed after the summer of 2019. The Teekkari Section has expressed the wish that there would be time to have the entire Teekkari community participate more actively in the readdressing.

Call for applications for student representatives in the administration of Aalto University

Aalto University Student Union (AYY) opens 18.1.2019 a call for applicants for student representatives in the Aalto University administration for the year 2019:

  • Degree Programme Committee of Animation, 2 members and 2 debuty members.

All students of Aalto University are eligible to apply. The descriptions of the different organs of trust contain more detailed information about possible requirements and restrictions. The call for applications closes on 3.3.2019, by which time the applications must be handed in. The application is done via the electronic application form available at https://www.halloped.fi/en.

The Board of Aalto University Student Union chooses the student representatives by 6.3.2019. The Student Union also wishes international students and students of all genders to apply for the student representative positions. The selection will follow the requirements of the Administrative Procedure Act, the Act on Equality Between Women and Men, and the Non-discrimination Act.

Criteria for selection

The selection decisions are made based on the applications, which are written in the field on the application form. The application should clearly show the applicant’s field of study, School, experience relevant to the position, and their ability to hold their position for the duration of the term of office. The criteria used for selection include interest in and commitment to the task, proven knowledge of influencing work in an administrative organ, and contacts to students via e.g. organisations or other types of activity. Representation from different fields of expertise or study, and possibly the stage of the candidates’ studies, are also taken into consideration when making the selection. Previous experience as a student representative or as a person responsible for studies in an association may also be considered advantageous.

AYY is looking for a Graphic Designer for its Communications team!

Join us in producing versatile visual content related to volunteering, events, advocacy work and other Student Union services!

The Graphic Designer’s tasks incluse designing and laying out AYY’s publications and materials. In practice, these take the form of different posters and brochures as well as the annual report. In terms of the online content, the Graphic Designer also executes the Facebook banners, website banners and some of the Facebook and Instagram posts. Smaller projects include business cards, ID cards, invitations and other running matters.

You will use the Adobe CS software as your working environment, and your design work is eased by a subscription to the Shutterstock image bank.

An absolute prerequisite for applying to the position is a professional knowledge of graphic design and layout. Skills in illustration and photography are considered beneficial, and extra points are also available for video filming and editing abilities. We hope the applicants to be able to manage projects independently and to prioritise their working hours. Applicants must have good communication skills in Finnish as well as English. Swedish skills are considered beneficial.

Working at the Student Union requires enthusiasm, efficiency and occasional flexibility with the working hours. Familiarity with the Aalto community is an advantage in this position, as it will ease the design of visual elements. You will be working in a team with the Advocacy and Communications Manager and two Communications Specialists, who will help guide your work, spur you on and bounce ideas with you.

The work is permanent and part-time (25 h/week). The salary is determined by the collective labour agreement for student unions (salary class II, acknowledging also possible education and experience supplements).
