The Aalto University Student Union is looking for interns!

The Aalto University Student Union is a dynamic service and advocacy organization that represents 15 000 students. Now you have the opportunity to work with us and show us your skills! AYY is looking for 1 to 3 interns for a variety of tasks.

 

Possible tasks

Organizational development intern

Your duties include various support tasks related to organizational development and well-being at work. You will work closely with the Financial Director, Secretary General and HR Manager of the Student Union. One of your most significant tasks will be contributing to the quality manual of the Student Union.

Automation intern

During your internship, you will examine what functions could be automated at AYY. Previous ideas related to automation have concerned e.g. the compilation and distribution of the weekly newsletter, the process of granting operating grants, and the general distribution of information within the Student Union.

Project funding intern

There are various funding channels for many associations and public entities, but the processes for obtaining funding are complex. As an intern, your task will be to look into different project sponsors and consider which of them would be suitable partners for the Student Union.

Voluntary activity intern

A lot of voluntary work is conducted within the Student Union and the Aalto Community. During your internship, you will investigate what kind of support the volunteers need to succeed in their tasks. You will also consider how this support could be organized in such a way that the acquired knowledge could be recognized as part of the studies.

Service design intern

Service design could be applied to several of the Student Union’s projects this year. Two of the most significant of these are AYY’s student center project and the Student Union website update. Other potential future development targets include a survey regarding member satisfaction and enhancing customer understanding. Service design could also be utilized in many other areas.

Data analytics intern

Collecting and analyzing data is currently a growing trend in every company, but the issue has not been discussed in much detail from the Student Union’s point of view. During your internship, you will have the chance to interview the organization extensively and think about what kind of data we would need to support our own operations and how it could benefit us.

Communications intern

As a communications intern, you will be able to try out new communication tools and ways to better reach out to the members and stakeholder groups of the Student Union.

Intern to promote student well-being

One of the main themes of the Student Union and the University in 2018 is the well-being of students. During your internship, you will investigate and implement various measures to improve student well-being in the long run.

Intern for the archives

As an intern for the archives, you will find out more about the statutory archiving tasks in public administration and develop our archiving operations.

Who can apply?

It is important that the internship is related to the intern’s studies. You will receive pay for the internship, and we hope that the intern can apply for an internship support granted by their school. Non-Aalto students from other higher education institutions can also apply for the internship.

Time of the internship

The internship lasts three months, and the more detailed duration can be agreed upon separately. The internship will take place between April and August, however. Depending on the content of the internship, it can be done for example between May and July or in May, June and August.

The Representative Council Committees for 2018 have been chosen

The Representative Council of the Aalto University Student Union has named three committees for 2018 to help them in their operations. Find out more about the new chairpersons and what the committees actually do!

Nicole Grekov, Noora Torpo and Anni Kolehmainen

At its first meeting of the year, the AYY Representative Council appointed a Financial and Real Estate Committee, a Community Committee focused on culture and association issues, and an Advocacy Committee that deals with advocacy and educational policy issues.

Anni Kolehmainen was elected as the chairperson for the Financial and Real Estate Committee, Noora Torpo as the chairperson for the Community Committee, and Nicole Grekov as the chairperson for the Advocacy Committee.

“In the Financial and Real Estate Committee, as in the other committees, we consider the things on the agenda of the upcoming Representative Council meetings and do preparatory work regarding the issues”, the chairperson of the Financial and Real Estate Committee Anni Kolehmainen says.

“The work we do enables the Board to edit or prepare the items brought to the Representative Council in more detail. In addition, we give suggestions and ideas to the Representative Council on how we feel different issues and projects should be tackled.”

The chairs predict that important themes for the committees during 2018 will be, among others, student housing, the student center, different policy papers and student well-being.

“I think our plans will become clearer when we can sit down with the committee members to think on what they feel is important”, Noora Torpo says.

All three chairs believe that the committees offer a good chance for both participating in decision-making and meeting new people.

”The Representative Council is a whole new field for me. I’m only acquainted with business people, so it’s fun to get to know to a fun new group. It feels good to start the work”, Nicole Grekov says.

“I’ve heard a lot of good things from my predecessor. You can really see how to influence things here”, Kolehmainen continues.

“Starting a new thing is a bit scary, but I’m fortunately not alone, as I have a good crew with me. I hope that we can get a lot done this year”, Torpo says.

Committees for 2018

At its meeting on the 18th of January, the AYY Representative Council decided to set up committees for 2018. The committees were set up to ease the decision-making process and the work of the Representative Council.

The committees consist of a chairperson, 13 members and a secretary from the Board. Each Representative Council group got one member into each committee for every beginning increment of 5 Representative Council members it has in its roster. Thus, for example SCIsma received a total of 2 members into each Committee. Each group could choose not to fill all spots if it so wished.

The chairpersons were voted on. This was done to guarantee the neutrality of the chairpersons, as it was decided that their presence in the committee does not count towards their group’s quota

AYY Condemns Inappropriate Behavior

Yesterday, on the 8th of February 2018, the Student Magazine Aino published the story “SisĂ€piirivitsi” (“Inside Joke”), which discussed the discriminatory speech and behavior found in the Aalto community. The story also mentioned a few student associations by name.

After the publication of the story, the author, Sonia El Kamel, and Aino’s editor-in-chief, Emilia MĂ€enmaa, have received a huge amount of feedback. Lot of the feedback has been positive, praising the article, but there has also been some critical feedback. Some of the feedback was totally unacceptable, vulgar and personal.

Aino is an independent publication that operates independently from the Student Union and is committed to following the guidelines for journalists. Nevertheless, its employees are employees of AYY. As an employer, AYY has a zero tolerance regarding threats, vulgar speech and other poor behavior towards our employees.

AYY condemns racism and discrimination strongly and unequivocally, and we do not accept any kind of discriminatory behavior within our community.

The theme raised in the article was discussed at AYY’s central office when the Secretary General was interviewed for the story. The publication of the article and the discussion it has created have shown that there is still much work to be done to promote equality. That is why AYY thinks that it is extremely important to have a broader discussion about the subject throughout the entire Aalto community.

1. Let’s work together to make the Aalto community safe for everyone

The Aino magazine and Helsingin Sanomat have published news pieces on an inappropriate sitsi party organized in Otaniemi. The Aalto University Student Union commits to the goal of Aalto University in offering all students an equal and egalitarian environment, regardless of the background or situation of the student in question, and to support associations in these aims.

Racism or other forms of inappropriate treatment should not be tolerated in events or social media. Errors in judgment can be prevented by discussing and learning from past mistakes. AYY wants to support its members and has already contacted the parties in question regarding the article in Aino magazine. Let’s remember to support each other in this community.

2. AYY challenges associations to save lives!

Nearly a thousand voluntary blood donors are needed in Finland every weekday. That is why the Aalto University Student Union is challenging all associations active within AYY to donate blood for the common good in the #LuovutusAalto campaign already for the third time.

In the autumn of 2017, #LuovutusAalto collected a total of 72 donations – more than twice the amount of donations collected during the spring #LuovutusAalto campaign. The winner of the autumn 2017 campaign in percentage terms is Ristin Kilta, with more than ten percent of their members donating blood during the campaign. The quantitative winner was Inkubio, the guild for Bioinformation Technology students, with 18 donations. Inkubio also took the prize in the spring campaign!

We are now challenging all organizations within AYY to increase the number of blood donations even further. The spring #LuovutusAalto campaign will start at the blood donation event held in Dipoli on Thursday, February 8th, between 11:00 and 16:00, and the campaign runs until April 6th.

Register a VeriRyhmĂ€ group (a Blood Service blood donation group) for your association and come and donate as a group or individually at Dipoli or at any other blood donation event or Blood Service Centre between February 8th and April 6th. The associations that have donated the most blood, both quantitatively and in percentage terms in relation to their number of members, are awarded the use of one of AYY’s sauna facilities for one night and a diploma from the Finnish Red Cross. All donors also receive an overall patch from the Finnish Red Cross!

3. Information relaying request regarding the Aalto AllWell Survey, 1st to 16th of February

A year ago, the AllWell study found that 20% of Aalto students are at a burnout risk, meaning that the number is double compared to the national average. This year’s AllWell opens on Thursday, the 1st of February, and is open until the 16th of February. The survey is personal and will be sent to all 2nd year bachelor students and 1st year master’s degree students.

The survey is an important tool in AYY’s advocacy work, so we hope it reaches a large-as-possible crowd to ensure a high percentage of answers. We’d hope that especially subject organizations would relay the information about the survey to their members. As an added bonus, the people who answer will receive personal feedback on their study skills a few weeks after the survey closes!

AYY organizes training to association actives every year. In January 2018 a first time training on ”Turvallisesti tapahtumissa” (Safe at events) , where event security which takes all participants into account on matters both physical and other was under review.

AYY is looking for a Housing Secretary!

Are you a person with initiative, customer service spirit and an interest in housing? Apply to be a part of AYY’s Member Services and Housing team!

The AYY Espoo service office in Otaniemi helps members in issues pertaining to housing. As the Housing Secretary, you are an important part of a team that does its part to make our Student Union’s vision a reality:

AYY – The best student living in the world.

The tasks of a Housing Secretary include:

  • customer service face to face, on the phone and online
  • handling apartment applications
  • drafting rental agreements
  • participating in developing housing services
  • in addition, you will participate in producing and developing other AYY member services and in communications pertaining to services.

You will be working with AYY’s own housing system Domo, which you will be trained to use.

What we expect:

  • Good customer service attitude and initiative
  • Experience on customer service
  • Good people skills
  • A positive attitude on development and teamwork
  • Occasional flexibility with working hours
  • Knowledge of MS Office
  • Fluency in Finnish and English, both oral and written

Considered as a bonus:

  • Fluency in Swedish, oral and/or written
  • Experience in real estate or the rental apartment business

What we offer:

  • Permanent and full-time work contract (weekly working hours 37.5)
  • A versatile and challenging position as a part of an enthusiastic work community
  • Good office spaces in Otaniemi, within good commuting routes and the West Metro, with an occasional option for working from home
  • An opportunity to apply for an apartment governed by the Student Union in Espoo or Helsinki

Working in the Student Union requires enthusiasm, effective execution of decisions and occasional flexibility in working hours. A certain, specific background of studies is not required; Suitability for the task is key. We will train you for the job.

Work starts immediately when the suitable person is found, according to the contract. The wages are based on the student union collective labor agreement (grade II, plus possible training and experience bonuses).
