The next week’s association newsletter has more information on the topic, but you should already look for your old documents and update your association information to Associations section on ayy.fi. 1. DOES YOUR ASSOCIATION NEED TOWELS FOR LOAN?

AYY has accumulated a huge amount of lost property, such as a stack of towels. If your association wants to start or improve your own supply of loans, now you have the opportunity to collect an unlimited number of towels from AYY’s lost property. It is advisable to wash towels prior to use.

AYY always stores lost property for two weeks and after that is entitled to get rid of it. 

 

2. DEADLINE FOR OTAX ACCOUNT ADMIN REPORT 29 MARCH

Deadline for Otax account admin report is 29 March. Accounts without reported admin will be locked on 1 Apr and sites disabled at the end of April.

Update your PHP-applications (wikis, content management systems etc.) and then fill in the admin report form. Remember to mention which applications and versions you have. Clean up unnecessary keys from .ssh/authorized_keys.

Leave your report in time and fill it in carefully.

Other notes about Otax:

  • phpMyAdmin will answer from ayy.fi connections only, ./:80/phpmyadmin/. Use SSH tunneling and provided phpMyAdmin instead of running your own version of it.
  • If your site needs htaccess rewrites, please contact us and we’ll add AllowOverride FileInfo to vhost configuration.
  • We are testing Python-support with mod_wsgi. If you want to run WSGI compatible Python applications in Otax, please contact tietotekniikka@ayy.fi.

 

3. TEEKKARI SAILORS’ LEISURE AND COASTAL SKIPPER COURSES

Teekkari Sailors’ navigation courses in the spring of 2014:

Leisure skipper course on Tuesdays, 25 Feb-15 Apr, 5:30pm-8pm

Coastal skipper course on Wednesdays, 5 Mar-16 Apr, 5:30pm-8pm

Examinations of both courses: Fri, 25 Apr, 6pm-10pm

 

The leisure skipper course is the beginner’s course on navigation theory and maritime traffic regulations. You will learn how to find your way between the right signs, navigate on the map and identify other ships based on lights. Teaching begins from the basics, so previous knowledge is not required. Later, you can continue your studies in the coastal skipper course, which includes tides, meteorology and the use of the radar. You may participate in both courses at the same time.

 

You can join the courses by becoming a member of TRIP and paying the membership fee.

1. KATI PENTTINEN APPOINTED AS AYY’S ORGANISATION AND COMMUNICATIONS SPECIALIST

Student of Engineering Kati Penttinen was appointed as the deputy of Aalto University Student Union’s organisation and communications specialist for the duration of a study leave. Ms Penttinen will be in the position until August 2015.

Ms Penttinen is a 24-year-old student of Bioinformation Technology at Aalto University. Previously, she has acted in AYY Board, being responsible for social policy, sports and new students. She has also volunteered in AYY’s associations for several years. In addition, Ms Penttinen has worked as the marketing and communications officer in the Design Factory Aaltonaut project, which established a new interdisciplinary minor subject programme for Aalto University.

2. SUBMITTING OF ASSOCIATION NOTICES AND THE OPERATING GRANT APPLICATION PERIOD TO BEGIN ON SATURDAY, 1 MARCH

The submitting of AYY’s association notices and the operating grant application period will begin on Saturday, 1 March. The notice and application period will last throughout March. All associations approved in the first list of AYY’s association register may apply for the operating grant. Associations in the second list of the association register and those associations which do not apply for financial assistance this year only have to fill out the association notice section at the beginning of the application form.

Please note that each association in AYY’s association register must submit at least the association notice. If the association notice is not submitted in two consecutive years, the association will be removed from AYY’s association register.

Further information on the application is available at /apurahat-yhdistyksille/, which includes the scoring model used for the allocation of the operating grants and the grant amounts of the previous year. You should also bear in mind that the prerequisite for the operating grant is the association profile at AYY.fi, and the associations are responsible for updating their profiles. If you have lost your user name or otherwise need help with updating your profile, you can send e-mail to jarjestoasiat@ayy.fi. At the same address, you can receive additional information and help with the association notice and the operating grant application. You can also contact us by phone at 050 520 9442. The best time to reach the organisation specialist by phone is on weekdays from 10am to 2pm.

 

 

3. NEED FOR MONEY? AINO MAGAZINE IS LOOKING FOR DELIVERERS FOR THE YEAR OF 2014! DL 14 FEB

AYY is looking for a group of people to be responsible for the distribution of Aino Magazine in Otaniemi, Töölö and Arabia. Monetary compensation is paid for distribution. There are four delivery days: two in the spring term and two in the autumn term. The magazines can be collected from AYY’s Central Office (Otakaari 11) from 3pm onwards on the days of delivery. Magazines must be mainly delivered on the same day, however, no later than within the next 24 hours. In addition, further delivery is carried out about a week later if necessary.

AYY provides a vehicle for delivery. Monetary compensation is paid for each delivered issue. Compensation is paid in two installments, after the last delivery of the spring and the autumn.

Delivery points are listed below. Most of them are places where the magazines are delivered to newsstands in lobbies, cafeterias and guild rooms. The exceptions are the halls of residence in Otaniemi, where the magazines are delivered into letterboxes. Distribution may be agreed in more detail with the selected deliverer.

Tenders are invited by e-mail no later than Fri, 14 Feb. Tenders should include persons responsible for delivery, size of the delivery team, compensation requested for each issue and any other terms of the deliverer. 5. APPLY FOR A GARDEN PLOT FROM AALTO GARDEN AT OSSINLAMPI DL 15 FEB

Have you dreamed of a garden plot in the middle of the campus by the pond? Now it is time to make this dream come true as the first farming season of Aalto Garden is approaching.

Otaniemi Urban Farming Association rents garden plots from Martti Levón Park (next to Ossinlampi) in Otaniemi. The association promotes and develops urban farming activities and gardening among the employees, students and associations of Aalto University. There are a total of 45 garden plots and the sizes range from 7-24 square metres.                     .

6. AALTO SCHOOL OF STUDENTS – SIGN UP AS A TEACHER

What is your passion? At Aalto School of Students, you can share it with others! The event is organised at Design Factory on Sunday, 23 March, 1pm-6pm. The day consists of lessons (duration 45 minutes) held by us, the students!

The lessons range from relationship skills to problem solving and the architecture of ships. We are now looking for teachers for the event. We believe that the best teachers are those who are genuinely enthusiastic about their topic. So you do not have to be the highest expert in your field – enthusiasm takes you far and the participants are interested beginners. Please note that you can teach in Finnish, English or Swedish. If you are interested, please contact us by 28 Feb by e-mail (aaltoschoolofstudents@gmail.com) and tell us briefly what you would like to teach. Give feedback on AYY’s facilities

AYY collects feedback on facilites rented on a one-time basis at https://lomake.ayy.fi/hallinto/palautelomake-ayyn-kertavuokrattavista-tiloista/. So please provide your feedback there! We aim to take into account all appropriate feedback when developing the facilities. Our wish is that those who have used the facilities last year, in particular, would provide feedback, so that development projects will not be forgotten when the users change. However, naturally we will also take into account feedback from new users.

1. ORGANISATION AND COMMUNICATIONS SPECIALIST TO TAKE A STUDY LEAVE

The organisation and communications specialist will take a long study leave starting from the end of this week. The election of his successor is still in progress, but AYY Board will make the decision on Wednesday, 22 January. Therefore, AYY does not have an organisation specialist for a short period of time, and the association newsletter will not be published for a while. You can continue to send your questions and requests to jarjestoasiat@ayy.fi. We will answer your questions as soon as possible. The election of the deputy for the organisation specialist will be informed later on ayy.fi and in the association newsletter.

2. APPLICATION PERIOD FOR AYY’S OPERATING GRANT TO BEGIN IN MARCH

Because the association newsletter takes a break, we want to remind you already at this point that the submitting of AYY’s association notices and the application period for the operating grant will begin on Saturday, 1 March 2014. The notice and application period will last from Saturday, 1 March to Tuesday, 1 April.

All associations approved in the first list of AYY’s association register may apply for the operating grant. Associations in the second list of the association register and those associations which do not apply for financial assistance this year only have to fill out the association notice.

4. THE FIRST APPLICATION ROUND OF TTE-FUND IN 2014 IS OPEN!

The first application round of TTE-Fund in 2014 is open! The fund may grant financial aid for all AYY members and the association within it. TTE-Fund supports visible activities that reach for the stars and make other people excited.

You can apply for grants from TTE-Fund in two ways: through the application rounds arranged approximately three times a year and through the continuous application period which is open during the academic terms. During the continuous application period, you can apply for the grants with the maximum of €1000, whereas the amount of project grants during the actual application rounds is not limited.

The first application round of 2014 will end on Sunday, 2 Feb 2013, at 11.59pm. Instructions for the application and its attachments are available on the website of the fund at http://tter.ayy.fi/. The grant can be applied for with an online form which is available at: https://lomake.ayy.fi/tter/hakulomake/.

5. WINTER DAY IS HERE AGAIN!

Your association is welcome to arrange a checkpoint for Winter Day on Tuesday, 21 Jan. Checkpoints are open in Teekkari Village area from 2.30pm onwards, and Otaniemi sauna facilities will open approximately at 6pm. The after party takes place at Smökki at 8pm.

6. PSK KUPLA ORGANISES A BASIC COURSE IN SCUBA DIVING AND TRY-OUT DIVE

Basic course

The info lecture of the spring will be held at 5.30pm on Thursday, 6 Feb 2014. The location will be confirmed in advance on the course website. The duration of the info lecture is about two hours. The lecture covers the course content, schedule, conditions for participation and registration for the course. In addition, information on Kupla’s activities is provided.

The info lecture is open to everyone interested in diving and Kupla’s activities. Welcome on board! The lectures and pool exercises will be mainly held on Thursday evenings during the spring and the course will end in the open water camp held in May.

Try-out dive

PSK Kupla organises a try-out dive after the info lecture of the scuba diving course at 5.30pm-approx. 11pm on Thu, 6 Feb.The event provides basic information on scuba diving and you can try out scuba diving in a pool led by an experienced instructor. After the try-out, you can still join the spring course if you wish to do so.

Participation in the try-out dive does not obligate you to participate in the course. You should sign up in advance as there is a limited number of participants (initially 18). The try-out dive costs EUR 10. Registration opens at 12noon on 17 Jan.

7. COME TO TECHNOLOGY DAYS ON 16-18 JAN 2014

Are you interested in technology and natural sciences? Come to Technology Days to Dipoli in Otaniemi on 16-18 Jan 2014! Technology Days tell you what is happening in the science right now: there are almost 100 current mini lectures and other exciting events. This year’s theme is air, one of Aristotle’s four elements. Lectures cover climate and weather, climate change, aviation technology, atmosphere and space, acoustics, as well as the transfer of information in the air.

1.NIKO FERM IN CHARGE OF ORGANISATIONAL AFFAIRS IN THE BOARD 2014

Niko Ferm is in charge of organisational affairs in the Board 2014. NIko studies network economics at Aalto School of Electrical Engineering and has previously acted as the Chairperson of Aalto Community Section Aava in the year of 2013. 3. AUDITION OF POLYTECH CHOIR

Dear male students! Would you like to challenge yourself musically? Would you like to perform in major concerts both abroad and in Finland, and get musical experiences that you have not even dreamt about? Would you like to be part of a really close community? If you answered yes and have developable singing skills, you are exactly what we are looking for!

4. PARTNER DANCE COURSES OF POHJALAISTEN TANSSIKERHO DANCE CLUB

Partner dance courses of Pohjalaisten tanssikerho dance club will begin on 21 Jan 2014. The courses are held on Tuesdays in the facilities of Ostrobothnian student nations at the address Töölönkatu 3 A, 5th floor. Courses are available both for beginners and more advanced dancers. You do not need your own partner, as we exchanger partners in the course. Each course includes 14 teaching sessions. Advance registration is not required.

You can come and try out the first two teaching sessions for free, and after this the prices are still very reasonable. The courses are cheapest for the members of Ostrobothnian student nations (EtelÀ-Pohjalainen, Pohjois-Pohjalainen and Vasa Nation), so it is advisable to join a student nation. Non-students can also participate in the courses.

3. APPLY FOR AYY’S REGULATION COMMITTEE BY 13 DEC 

Are you interested in the Associations Act and the regulations of student associations, in particular? Get involved in AYY’s Regulation Committee!

The Regulation Committee acts as the observer and developer of the student union regulations and helps the associations operating within AYY with regulation issues. The Regulation Committee has drafted the model rules provided for the associations, among other things. In accordance with the Associations Act in Finland, the official rules of the associations must be in Finnish or Swedish (or in both languages) and therefore the working language of the committee is Finnish. The term of office of the Regulation Committee is a calendar year and the committee members are appointed by AYY’s Board.

4. TTE-FUND COLLECTS A LIST OF EQUIPMENT AND SERVICES RENTED AND BORROWED FOR ASSOCIATIONS

In order to support its decision making, TTE-Fund collects a list of items, equipment and services that AYY’s associations rent or borrow for other associations. We collect as comprehensive list as possible, so we hope that you inform us about anything that you wish to rent out, whether it is a van, a giant twister, karaoke equipment, training session or dance performance.

5. ADVANCE BOOKING OF FACILITIES IS HELD FOR ASSOCIATIONS BETWEEN 2-18 DEC

AYY’s van and the facilities rented on a one-time basis can be booked in advance for the period between 13 Jan 2014–17 Aug 2014 in the so-called advance booking sessions, which will be held during 2–18 Dec (see the detailed schedule below). The list of available facilities can be found at  /jasenille/tilojen-vuokraaminen/. Schedule for advance booking of facilities for associations is as follows:

  1. Special status associations 2–9 Dec 2013. Reservation time ends at 8am on Mon, 9 Dec 2013. Booking event on Mon, 9 Dec 2013, from 6pm onwards in the large negotiation room at Otakaari 11 (2nd floor)
  2. Other associations, 10–15 Dec 2013. Reservation time ends at 8am on Sun, 15 Dec 2013. Booking event on Wed, 18 Dec 2013, the time will be announced later.

The advance booking form for making facility reservations is available at yhdistykset.ayy.fi/tilakahmyt. The language of the form is Finnish. 6. NOW IS THE TIME TO APPLY FOR AYY’S VOLUNTEER POSITIONS FOR 2014 – CALL FOR SECTIONS TO END ON MONDAY, 9 DEC

AYY is made and experienced by its members. Each active AYY member can contribute to making the student union an important, necessary, suitable, interesting and reliable interest representative, service provider and community for themselves and, above all, their community. There are many ways to have influence and participate, so choose the most suitable way for you! AYY’s recruitment sites for the year 2014 are open at ayy.fi/stop. Check out volunteer positions for the next year and apply for a suitable duty.

7. POLYTECH CHOIR FUND’S SCHOLARSHIPS AVAILABLE FOR APPLICATION

The purpose of Polytech Choir Fund is to support and promote with scholarships and grants the singing hobby of the members of AYY and its associations.

Polytech Choir Fund invites applications for the singing term 2013-2014. Applicants are asked to clarify their singing hobby and justify the need for the scholarship. The application must include the applicant’s social security number, tax district, contact information and account number, a copy of AYY’s membership fee receipt or student card, as well as the clarification of expenses during the singing term Autumn 2013–August 2014 with receipts.

Applications must be submitted by 4pm on Monday, 16 Dec 2012 to the address Polyteknikkojen Kuoron Rahasto, Timo Voipio, PL 69, 02151 Espoo. You can also submit your application in an envelope including this contact information to AYY’s Otaniemi Service Point or electronically in PDF format to pkr-hakemukset@polyteknikkojenkuoro.fi

8. CHRISTMAS OF THE POLYTECH CHOIR

The church lit with warm glow of candles, darkening evening outside, the church filled with peaceful people in the Christmas spirit. The Christmas of the Polytech Choir takes you to the roots of the beloved Christmas carols from the Renaissance to the present day, spiced up with Orthodox chuch music and improvisation. The Polytech Choir celebrates its first Christmas led by Saara Aittakumpu in four fabulous concerts – on Saturday, 7 Dec, at Tapiola Church and Paavalinkirkko Church, as well as closer to Christmas on Thursday, 19 Dec, at St. John’s Church in Helsinki according to 20-year traditions. We warmly welcome you to the timeless Christmas spirit. Student-priced tickets are available from AYY’s Otaniemi Service Point, at joulukonsertti.fi and at the entrance.

9. CHRISTMAS CONCERTS OF ACADEMIC FEMALE CHOIR KYN

This year, Academic Female Choir KYN will organise two Hiljainen joululaulu Christmas concerts. On 19 Dec, the concert is held at PyhĂ€n SydĂ€men Kappeli chapel in Kallio and on 21 Dec at Temppeliaukio Church in Töölö. The concerts take listeners towards the Christmas through traditional Christmas carols and newer compositions. The choir is conducted by Kaija Viitasalo. Tickets €15/10.
