At its meeting on 17 Sept, the Representative Council amended AYY’s association regulation in terms of the obligations of the first list associations concerning the transfer of funds. The amendment does not require rule amendments from associations. AYY’s association training session will be organised on Wednesday, 2 Dec 2015.

1. Amendments to AYY’s association regulation:

The association regulation updated in the Representative Council meeting on 17 Sept is now available in three languages at https://inside.ayy.fi/pages/viewpage.action?pageId=12615842.

The Representative Council amended Section 8 of the regulation in terms of the obligations of the first list associations in case an association is dismissed or discontinued. The amendment does not require rule amendments from the associations in the first list. Nevertheless, we contacted the associations in the first list in the spring and mentioned that the association meeting has to decide on the transfer of funds if the association is dismissed or discontinued. All of these associations must change their rules before the next allocation of operating grants to correspond with the obligations of the association regulation. Sample rules mainly intended for new associations will be updated in the coming weeks.

2. SAVE THE DATE: AYY’s association training session on 2 Dec 2015

This year’s association training session will be organised in Otaniemi on 2 Dec 2015. The training session includes a common session and groups for different association operators. Information on the content of the training session and registration will be provided later.

3. Storage space available for associations

Allocation practices of facilities rented permanently for associations were updated for the first time in early 2014. In the future, vacant/soon to be vacant facilities will be announced in the association newsletter, after which associations can apply for the facilities. Facilities are allocated for the associations with the help of the scoring model for rented facilities.

Now it is time to apply for vacant facilities. This time, we only have storage space available. You can apply for the storage space with the electronic application form: https://lomake.ayy.fi/hallinto/storage-facilities-application-form/

The available facilities and their floor areas can be reviewed when filling in the application form.

The application schedule is as follows:
The application form is open on Fri, 9 Oct, 12midnight–Fri, 23 Oct, 3pm.
AYY’s Facility Committee will address the received applications in week 44-45. AYY Board will decide on the allocation of facilities for associations based on the proposal of the Facility Committee in week 46.
After the decision, we aim to sign agreements for facilities as soon as possible. Rental agreements are valid until further notice, unless otherwise agreed.

NB! Only applications using the above-mentioned forms are taken into account. Previously sent facility request emails or late applications will not be taken into account.

4. AYY’s development cooperation week

During AYY’s development cooperation week, global affairs take over the campus in the last week of October.

Why do we engage in development cooperation? How can technology improve the world? What kind of projects does the university have in the developing countries? How about a career as a healer of the world? The development cooperation week is part of the annual theme week funded by the Ministry for Foreign Affairs, which brings global development issues among students. AYY’s week on 26 Oct-30 Oct 2015 includes theme workshops, problem solving, international fairs, inspiring lectures, international speakers – not forgetting languages, cultures and culinary delights of the world.

1. AYY wants YOU – volunteer recruit has begun!

The world’s best student union AYY is looking for volunteers! Are you interested in culture, municipal affairs or working in the union’s board? Various opportunities can be found in both events organizing, academic affairs, economy and international affairs. 2. Storage space available for associations

3. Association/group of friends needed to market house meetings

AYY is looking for a group to distribute material related to AYY’s house meetings. The task is to deliver info papers telling about meeting invitations and positions of trust to all 2,600 apartments. In addition, the group should also attach house meeting posters. AYY compensates for your travel expenses or kilometre allowance for the transport between the locations. If needed, AYY’s cars may also be used.

2. Advance ticket sales for Polin appro to start on 5 Oct!

Gather a team from your association and sign up!

Polin appro takes over the streets and bars of Helsinki on Wednesday, 4 Nov, when students in overalls get to fight for the title of Hollywood’s brightest star! This year’s theme is Hollywood. After the pub crawl, the night continues at Club Capital where Sosiaalifobia and Sima perform!

The first participants leave at 4pm, after which you can tour the pubs for 4 hours. The afterparty starts at Club Capital (Fredrikinkatu 51) at 9pm.

Advance ticket sales will start at 12noon on 5 Oct at https://lomake.ayy.fi/teekkarijaosto/polin-appro-2015-ennakkolipunmyynti/

Actual ticket sales will start on Tuesday, 20 Oct. More specific ticket sales locations and times will be announced later.
Tickets cost €13, €13.50 from bailataan.fi and the admission to the after party only costs €7. Tickets include the cloakroom fee at the afterparty (€3).

3. Students’ booking practices for Aalto University facilities to change

Aalto University Student Union AYY and its sub-associations may use the university facilities free of charge. The facility booking regulations from 1 Oct 2015 are as follows:

1. Associations in the Student Union’s first and second register can make facility reservations. ( /en/associations/associationslist/ )
2. Reservations can be made for the University’s lecture halls and other facilities in common use within the normal opening hours of each facility.
3. Reservations cannot be made to a certain facility. Associations are offered vacant facilities suitable for their needs.
4. The University’s own use is prioritised. In case of overlapping reservations, the aim is to find a replacing facility for the association.
5. Reservations can be made by contacting the building janitor on the previous day at the earliest.
6. The use of facilities must comply with the existing rules and regulations.
7. The use of premises is free of charge.

Reservations are generally made on the previous day of the event, with the exception of official occasions, such as an association’s annual meeting or various training sessions. In the meeting rooms, the University’s own use is prioritised between 8am-4pm and therefore the students can only use the facilities after 4pm. The facilities are used within the opening hours of the buildings. However, in exceptional cases, opening hours may be extended. This is always agreed upon seperately and the person who makes the reservation pays for the expenses.

In addition, the University has so-called 24/7 facilities which are also available for students (some facilities use pin code, tag or other identification):
• Maarintalo 24/7 : IT classrooms, group work facilities, seminar hall, tv room, mini kitchens, ”guild room” and individual rooms.
• Otakaari 1 HUB 24/7 : multi-purpose facilities, seminar hall, group work facilities, kitchen, refreshment vending machines are available in the facilities.
• Guild rooms and study facilities
• Töölö’s Rooftop

4. Quality. Together. Discussion event on quality

Where does the provided feedback go?
How can students have influence on the quality of studies?
What is quality, actually?
What does auditing mean?

Aalto University and AYY organise a joint information and discussion event for students on the University’s quality systems and the upcoming audit. The event is open to anyone interested and we hope that different subjects will be represented. We also hope that special status associations, in particular, ensure that someone will represent them in the event. In addition, the event is a suitable training event for those who are interested to participate in academic affairs and student representative issues next year.

1. AYY’s Representative Council elections are approaching – stand for election by Wed, 30 Sept

This year, AYY’s members again have the opportunity to stand for election and vote on the composition of the Representative Council. In the Representative Council elections, AYY’s Representative Council of 45 members is elected for the next two-year term. The Representative Council has the highest decision-making power in AYY. The council decides on your membership fee and the student union regulations, among other things. The Representative Council is always elected for two years at a time.

The nomination for candidates will end at 12noon on Wednesday, 30 Sept. Collect your list and join the elections! AYY’s Representative Council elections are organised on 3-4 Nov 2015 and you can vote in advance on Mon, 26 Oct-Mon, 2 Nov. 2. Nominate new honorary members for the Guild of the Round Tower

The Guild of the Round Tower is an honorary and senior organisation operating in the vicinity of Aalto University. Persons who are at the final stage of their studies or who have recently graduated and have shown continuous interest in the culture of engineering students and other student activities at Aalto University and promoted its development in the Student Union or its associations may be nominated for the position of an honorary member. Nominations can be made until 10.15am on 10 Oct 2015 at https://lomake.ayy.fi/ptk/ehdota-uusia-arwoisia/

Nominations can be made by an individual, guild, association or by several people, guilds or associations.

3. Volunteers needed for herring breakfast!

Do you have an energetic group of 10-15 people? Do you need money for an excursion or other project? Now you have an opportunity to make some money! Come and organise herring breakfast that ends the Teekkarius143 week together with your friends and make some money at the same time! The breakfast is organised at Servin Mökki on Sunday starting at 12noon on Sunday, 8 Nov 2015 and you should work on that Sunday and a little bit in advance. If you want, you can also be more involved in the implementation of the breakfast, starting from the planning phase.

If you are interested, please send an informal application to sirius.vuorikoski@ayy.fi as soon as possible, however, no later than 12 Oct. The application should include information on the size of the group, any previous experience, why we should choose your group, possible ideas for the breakfast and your fee. If you have any questions, please get in touch on time.

Will you have a party at Smökki but you have lost the ABC book for the kitchen? Don’t worry, participate in the kitchen training at Smökki! After the training session, you can certainly handle the herring breakfast if you are willing to organise it for a small fee. Would you or your association like to organise a major party at Smökki and take care of catering by yourself? Are you uncertain how to use a catering kitchen? There is a solution to your problems: kitchen training at Smökki.

The training session will be organised in the kitchen of Smökki starting at 4pm on Monday, 28 Sept. The maximum of 20 people can attend the training session.

Security in student communities and associations

Dear association members,

as you may have noticed, this year the student associations have been visible in the media in an unpleasant context. Drugging attempts among the students of the University of Helsinki have received particular attention – the latest case took place in the beginning of September. However, we have not yet found out whether the drugging attempts have been made by students or persons outside the student community.

Common safety is an issue which should not be compromised under any circumstances. Therefore, possible drugging attempts and other cases of disturbance are matters that should be taken into account in AYY’s associations. Even though we have not heard of any cases in AYY, even one drugging attempt or act of violence in student parties is too much. You should always report to the police any drugging attempts or suspicions of a crime against a person’s health. In this way, we can together show that we do not tolerate any kind of harassment or violence in the student union or student association events.

In situations that threaten the participants’ health, you should always ensure the safety of victims and call the emergency number. We hope that you never hesitate to report danger situations to the emergency centre. We also hope that all dangerous situations and any suspicions of drugging would be reported to AYY, so that we can together make sure that the problems will not spread any further.

A training session related to event security will be organised in this year’s association training session in November-December.
